Frequently asked questions

What information will I be asked for?     

Grant Property collects personally identifiable information from you which is completed on our online application.  We ask that all prospective tenants complete our online application in order for us to assess your suitability to be one of our tenants.  The personally identifiable information which is collected includes your name, address, telephone number, e-mail address, national insurance or passport number, employment status and details of employment.  We also ask for bank account details to set up a direct debit to collect your monthly rent.  If you don't have a UK Bank account, we will require your Credit Card Details. 

We also ask for other important personal information which we may need when you are living in one of our properties.  This includes emergency contact information and details of any children who will live with you in the property on a permanent basis.

What information will my guarantor be asked for?

If you require a guarantor, we also collect personally identifiable information from your guarantor. We ask that all guarantors provide us with personal information to assess their suitability to be your guarantor.  The personally identifiable information we ask from your guarantor includes their name, address, telephone number, email address, national insurance number, employment status and details of employment. 

Why does Grant Property ask for my Personal Information?

Grant Property may use your Personal Information for the following (1) To assess your suitability to be one of our tenants.  (2) To use your Bank Details to set up a Direct Debit to collect your rent.  (3) Where no UK Bank Account details are provided, to use your credit card details to collect your monthly rent.  (4) Emergency Contact details will be only be used in cases of emergency.  (5) Your employment details will be used to assess your income and capabilities of meeting the monthly rental.  (6) Your University details are only used by Grant Property to gather information about the demographics of our tenants.  (7) We ask for the details of referees to identify that you are able to provide these, or are in the process of asking your referees to send us your written references. (8) Information relating to children residing in the property is used to ensure that the property you are renting complies with any relevant legislation.  (9) Contact details may be used to inform you of our products and services available.

Why does Grant Property ask for my Guarantor's Information?

Grant Property may use your Guarantor's personal information for the following (1) To assess the suitability of the individual to be a guarantor.  (2) Guarantor's employment details will be used to assess Guarantor income and capabilities of meeting the monthly rental. 

Who will Grant Property Share my Information with?

Grant Property may only share personal information about the performance of obligations under any signed tenancy agreement including; past, present and future known addresses of the parties, with each other, with credit and reference providers for referencing purposes and rental decisions; with Utility and Water Companies, local authority Council Tax and Housing Benefit departments, Mortgage lenders, to help prevent dishonesty, for administrative and accounting purposes, or for occasional debt tracing and fraud prevention.  Under the General Data Protection Regulation you are entitled to see a copy of personal information held about you and to have it amended if it is shown to be incorrect. 

Grant Property will not sell, rent, loan, transfer, or otherwise disclose any Personal Information to third parties except as set forth in the above.

How Does Grant Property Protect my Information?

Grant Property uses appropriate security measures to protect all Personal Information collected in a secure, controlled environment.

In addition, Grant Property configures strict security profiles on our internal database to ensure that only authorised individuals can view your personal details. In the event of a security breach whereas your Personal Information is acquired by an unauthorized person, Grant Property will take appropriate steps to contain the breach and to notify you of the unauthorized acquisition.

How long will Grant Property store my information?

The personal information you provide in our online will only be stored online until the information is transferred onto Grant Property's internal database.  Online applications are also deleted after 38 days of inactivity or if not submitted.  Grant Property will store your personal information for as long as you live in one of our properties or longer if necessary to contact you with regard to matters relating to your Tenancy. 

What if I don't want to provide my Personal Information?

If you are unable or unwilling to provide Grant Property with the personal information we require, this may prevent us from letting a property to you. 

What about Company application details?

If you are a company applying for a Grant Property property, we also ask for information which is completed on our company online application.  Information includes your Company name, Registration number, Company Registered address, Company Correspondence address, Accountant details and your company bank details. 

Why does Grant Property ask for our Company details?

Grant Property may use your Company details for the following (1) To assess the your Company's suitability to be one of our tenants.  (2) To use your Bank Details to set up a Direct Debit to collect your rent.  (3) Where no UK Bank Account details are provided, to use your credit card details to collect your monthly rent.  (4) Company Accountant details may be contacted when pursuing companies for outstanding sums relating to a Company Let Agreement.  (5) Your company correspondence address may be used for any written communication.  (6) Your Company Registration number is used when performing a credit check on your company's Financial Status.  (7) We ask for the details of a Financial Referee to identify that you are able to provide this on request. (8) All other contact details may be used to inform you of our products and services available.
